Refund & Cancellation Policy

Software made to your brief cannot be returned like goods, so any refund follows the work already done. Here is how to stop a project and what happens next.

RevisedCovers aarvyacorporation.com

If you are thinking about stopping a project with Aarvya Corporation, or wondering what would happen if you did, this page explains how we approach it for our software development services. It stays general on purpose, since no two engagements are alike. Your project is governed by its signed proposal, quotation, statement of work or contract, and where that document and this page disagree, the document prevails.

Can anything be bought on this website?

No. aarvyacorporation.com has no checkout, basket, subscription or payment gateway, so there is never a website transaction to reverse. Whatever you owe us is invoiced under an agreed engagement and paid in the way that invoice describes.

Why are refunds measured against work done?

Everything we build, whether a mobile app, a website, a web application or a custom system, is made to one brief for one client. It is planned, designed, coded, reviewed and tested around your requirements, not picked from a shelf. Effort spent on it cannot be put back into stock or sold on to another customer. That is why a refund depends on how much work has been carried out, rather than on anything being sent back.

How do you cancel or pause a project?

Email aarvya.corporation@gmail.com from the address linked to the project. Give the project name and a few words on why, because the reason often affects the options we can offer you. A cancellation runs from the day your written request reaches us, not from an earlier phone call or meeting.

We will acknowledge the request in writing and set out where things stand on that day: what is finished, what is under way, what has already been committed to outside suppliers for you, what has been invoiced and what is still to come. If pausing would serve you better than cancelling, we will tell you, and restarting a paused project is handled as the applicable agreement describes.

What do we weigh up when you ask for money back?

When you have paid in advance and the engagement is then cancelled, we take into account:

  • work already completed, including anything not yet handed over to you;
  • milestones you have received and accepted;
  • time set aside for your project that cannot sensibly be given to other work;
  • money already paid out to other companies on your behalf;
  • whatever the applicable proposal, quotation or contract says about cancellation.

We aim to be fair to both sides. If nothing has been started, the amount returned should show it. If much of the work is done, paying for it is reasonable. And if what you have paid so far is less than the value of the work completed, the difference is still owed.

What usually cannot be returned

  • milestones that have been delivered and accepted;
  • work done within the agreed scope, judged by the effort involved rather than by the time that has passed;
  • outside costs already spent for you, such as licences, subscriptions, developer account fees, domain names, certificates and infrastructure, which their providers rarely give back;
  • any sum the applicable agreement marks as non-refundable;
  • taxes and statutory levies already paid over to the authorities, where they cannot be reclaimed.

Fees collected by other companies

App stores, cloud providers, domain registrars, licence vendors and payment processors charge their fees under their own terms. We cannot give back money that was never paid to us. Where we have paid one of those fees for you, it counts among the costs listed above, and only the company that took the fee can decide whether any of it is recoverable.

What about support or maintenance paid in advance?

If support, maintenance or hosting is invoiced ahead for a period, the applicable agreement explains how that arrangement can be ended and what becomes of the unused part of the period. Hours, credits or tickets you have already used cannot be refunded.

What if we are the ones who stop?

Should we find that we cannot carry on with an engagement, we will say so in writing, give you the work finished so far in a form you can use, and settle the account on the same footing as above. We never keep money for work we have not done.

How does a refund reach you?

An agreed refund goes back the way the payment came: to the same bank account or payment method, and in the same currency we received. We may ask you to confirm the account details in writing before sending it. Bank charges and exchange differences that cannot be recovered are taken off the amount. Refunds are never paid in cash, to a third party, or into an account held in a different name.

What if you disagree with the outcome?

Write to us and explain your reasons. We will go through the figures again and tell you how we reached our view. If that still does not resolve it, the governing law section of our Terms & Conditions applies.

Can this policy change?

It may, as our services develop, and the date at the top shows when this version was published. A later revision does not alter the cancellation terms of an engagement you have already agreed with us, which remain those of the document signed at the start.

A question about this policy?

Whether something above needs explaining or you want us to act on one of the requests it describes, email us and name the policy you are writing about. Letters can go to the postal address underneath.
